Job Description
Rate Card Management & Data Analytics
• Rate Card Ownership: Build, maintain, and govern transportation rate cards covering lane-level pricing, weight breaks, surcharges (fuel, tolls, peak season), and service-type variations. Ensure rate cards are accurate, current, and version-controlled.
• Advanced Excel Modeling: Design and maintain advanced Excel models (complex nested formulas, INDEX/MATCH, SUMPRODUCT, Power Query, PivotTables) to manage, validate, and audit large rate card datasets spanning thousands of lane-rate combinations.
• Big Data Analysis: Analyze large shipment and billing datasets (volumes, weights, distances, actual vs. quoted rates) to identify billing discrepancies, cost anomalies, and optimization opportunities. Summarize findings into clear, decision-ready reports for management.
• Should-Cost & Benchmarking: Conduct should-cost analysis and market benchmarking for transportation services, translating raw market data into defensible cost baselines for negotiation.
• Process Automation: Automate recurring rate card updates and data reconciliation workflows where possible (Excel automation, Power Query, or basic scripting) to improve accuracy and efficiency.
Procurement Execution
• Purchasing Operations: Purchase logistics services and materials for transportation categories, mainly 3PL services and trucks, from PR to PO: prepare and raise purchase orders and order schedules in line with procurement SOPs.
• Negotiation Support: Support contract negotiation by preparing data-backed negotiation packs — rate comparisons, volume analyses, cost breakdowns, and savings scenarios — that strengthen the team’s commercial position with suppliers.
• Savings Validation: Track realized savings against negotiated rates, validate supplier invoices against contracted rate cards, and flag variances for recovery.
Supplier & Stakeholder Management
• Interface Role: Act as an interface between suppliers and internal departments (Operations, Finance, Logistics) on purchasing processes, new projects, and rate-related queries.
• Issue Resolution: Contact suppliers to resolve price, quality, delivery, or invoice issues. Escalate complex disputes with supporting data and root-cause analysis.
• Supplier Evaluation: Assess and evaluate suppliers and contribute to performance reviews (quality, delivery, cost, service) to ensure contract compliance and rate adherence.
• Relationship Management: Build and maintain professional, ethical, and productive relationships with suppliers, staff, and stakeholders.
Reporting & Compliance
• Prepare procurement reports and updates (spend analysis, rate movements, savings tracking, supplier performance) as required by management.
• Monitor and advise on issues that present risk or opportunity to the management, supported by data evidence.
• Adhere to company guidelines, purchasing policies, procurement SOPs, and delegated authority thresholds at all times.
• Maintain accurate and audit-ready procurement documentation,
