Job Description
A. Vendor Management
1. Management
a. To monitor and update daily & monthly activity for OS Management
b. Planning to adapt with Operation
c. To allocate, build headcount planning for each vendors ensure they can deliver their service efficiently based on forecast and max capability of FFM as well Vendors
d. Build structured approach to vendors: KPI, quality management…
e. To ensure the vendor assessment or performance evaluation are being tracked, measured and reported effectively and timely (At least monthly once) and adjust it to adapt the operation healthy
f. Manage OS budget, and control cost
g. Record, reconcile with vendors on headcount usage on weekly/monthly basis
h. Lead and maintaining positive relationships with Outsourcing agencies
i. Manage OS workers with operation Function
j. Maintain OS model after launching
k. To conduct a regular Risk assessment/ Process Gap analysis
l. Audit vendor and assessment
m. To provides a continuous support and training related to Vendor
n. Build up or re-build SOP for Outsourcing Service

2. System
a. Support for controlling data in the WFM
b. Check data in the WFM and compare with Operation and Supplier
c. Coordinate with FFM to track attendance, leaves, OT, OS Payment…
d. Control Vendor service by WFM and process for further payment

3. Admin task:
a. Manage OS documentations as SOP
b. Support to control and collect documents from a vendor.
c. Planning and coordination with Function (PR/ PO coordination with Procurement, Fin)
d. To work closely with Care Services in new benefits launched and get reports to assessment
e. To participate market survey in same industry to determine prevailing pay rates and benefits, identify internal trends and compliance improvements

B. Ops Support:
1. Manage Supplies/Stationeries/Material Planning/Cleaning
2. Inventory Management
3. Planning and Execution for Operation’s engagement activity
4. Asset dispute
Other tasks assigned by the direct manager
Job Requirements
- Qualification:
• At least a bachelor degree in Business Administration or equivalent
- Competency:
• Strong ability in understanding business operations in an Admin/Vendor management perspective
• Proven analytical thinking, project management skills & ability to adapt to new requirements
• Self-starter, motivated and detailed/results oriented
• Strong organizational skills & ability to thrive in a fast-paced start-up environment
• High level attention to details and accuracy
• Good teamwork
• Good at Microsoft Office
• Data skills (SQL/ Power BI) is highly desirable
• Excellent communications skills with fluency in English
• Willingness to travel within the country
- Experience:
- 3 years of previous experience in Admin/Vendor management department of multinational companies.
